Affiliate Reporting: Record Data Freshness Before Comparing Dashboards

Separate the reporting date range from the data refresh time when reconciling affiliate dashboards and deciding whether a difference is actionable.

Two affiliate dashboards can show the same date range while representing different moments of data availability. Before a media buyer interprets the difference as a campaign change, the reporting note should identify when each view was refreshed and what that timestamp actually means.

This is a proposed reporting discipline for performance marketing media buying. It does not describe the refresh schedule or tracking capabilities of any particular platform.

Separate three different times

The reporting interval states which events are being requested. The extraction time states when someone downloaded or viewed the report. The source's data-through time, when available, states how far its processing has progressed. These timestamps answer different questions and should not be collapsed into one field called updated.

Record the time zone with each timestamp. If the source does not disclose a processing cutoff, write unknown. Downloading a file now does not establish that its contents include every event up to now.

Keep a small freshness record

  • Source and report name, including the account or campaign scope.
  • Requested reporting interval and its time zone.
  • Extraction time and any visible last-refresh label.
  • Documented meaning of that label, or an explicit unknown.
  • Filters, conversion status and currency basis used.
  • Decision that depends on the comparison.

A screenshot can preserve a visible label, while the corresponding export preserves the values used in the calculation. Retain only the reporting information needed for the review and avoid copying customer-level data into a team status note.

Use a controlled recheck

Consider a hypothetical pair of views: one shows 80 approved orders and another shows 92 for the same interval. The gap is 12 orders. A difference in freshness is one possible explanation, not proof of the cause. Definitions, filters and approval-state changes may also differ.

If the sources document different processing schedules, recheck after their stated processing points while preserving the same interval and filters. Save the new result as another snapshot. Do not overwrite the first evidence or claim the gap is resolved simply because one total moved closer to the other.

Make uncertainty visible in the decision

Label the comparison provisional when the relevant cutoff is unknown. For a budget review, explain which source is used for the operational decision and why; that choice should follow the team's agreed reporting policy. A freshness check alone cannot establish settlement, profitability or causal campaign improvement.

BlueFriday's media buyer overview provides the wider traffic context. Within an affiliate reporting workflow, a compact freshness record gives buyers, publishers and advertisers a shared description of the evidence available at the time of a decision. It also makes the next reconciliation easier to reproduce.
