Affiliate Reporting: Audit Hidden Rows Before Sharing Totals
A spreadsheet review method for affiliate teams checking hidden rows, visible campaign selections, and the scope of shared totals.
Treat presentation state as part of the handoff
A campaign workbook can show a short list of visible campaigns while retaining additional records in hidden rows. The number displayed as a total may refer to the full dataset or to a subset, depending on how the workbook was built. In performance marketing media buying, that ambiguity can lead a reviewer to associate a total with the wrong campaign set. Before sharing the file, document which records the displayed figure is intended to summarize.
Inspect a copy with the full record set visible
Preserve the source workbook and work in a review copy. Inspect hidden rows, grouped sections, active filters, and hidden columns that explain campaign identity or status. Do not assume that making rows invisible removes them from calculations. Review the actual formula and verify its behavior using a small controlled example in the same spreadsheet application. Different functions and visibility mechanisms need separate checks.
Reconcile the selected and complete populations
Consider a hypothetical workbook with three campaign spend values: 40, 60, and 100 units. If the middle row is hidden, the two visible values sum to 140 while the complete population sums to 200. Neither figure is intrinsically wrong; the label determines which one belongs in the report. State the reporting currency separately and keep this arithmetic example distinct from actual campaign results.
Make the scope survive a screenshot
Use an explicit label such as all imported campaigns or selected campaigns, with the reporting dates and selection rule. A screenshot loses much of the workbook context, so include the record count and scope beside the total. For a recipient who needs to reproduce the calculation, provide the appropriate non-sensitive detail extract and explain exclusions. Keep customer-level information out of routine campaign summaries.
Close the review with a reproducible check
For media buyers comparing ecommerce CPS or virtual-product campaigns, reconcile the displayed total with an independently summed list of the intended records. If the numbers disagree, resolve scope before interpreting efficiency or changing budgets. Hidden-row review does not replace checks for delayed commissions, refunds, or missing exports; it establishes what the current workbook is actually presenting to the decision maker.
